How do you keep track of maintenance requests?

Curious how other small landlords handle this.

When a tenant texts or emails about a repair, how do you keep track of it from "I need to look at this" to "this is done"? Do you use a spreadsheet, notes app, calendar reminders, a property-management app, or just the text thread itself?

I'm mainly thinking of smaller setups where a full portal feels like too much, but loose texts can still get messy.

If you have a simple system that works, what do you usually track? Things like date reported, unit nickname, issue, status, vendor, cost, follow-up date, or completed date. Even a rough outline of your setup would be helpful.

rental to avoid in Cary NC

In my opinion…

It would be best to avoid renting from 984 Lemster Lane, Cary NC 27519. Owner lies, claims in the posts that the place is cleaned every 3 weeks and that does not happen every 3 weeks, its more like every 4-8 weeks.

Claims he wants respect but does not give it. Says he will do something or that does not happen here, but does the opposite.

 

If something breaks, he will try to fix it himself and says it’s fixed when it is not. Will pretend to fix things for a week before calling a professional.

 

Will have late guests till like almost midnight at times, have full on conversations without any consideration if others are trying to sleep.

 

Smoke detector on the first floor was never fixed, has wires hanging from the ceiling where the smoke detector used to be, and that has been over a year.

 

Will hold you to the letter of the lease but not vice versa. If you hold him to the lease, he will deny, deny, deny.

 

This individual does not keep their word.

Townhouse Electric Bill Question

I’ve lived in one side of a townhouse for 3 years now with my boyfriend. The monthly electric bill was around $70. When my sister and her three children moved into the other side for 2 years, my monthly electric bill was in the range of $120. Now that she’s been moved out for a month, the electric bill is $60.. is there a way to backtrack and have someone come out and track how the electric is split up? Can we get some of that money back if they decide we’ve been paying a bit for both sides? I fear we’ve been paying a lot for the other side’s electricity instead of just our own. Any suggestions?
