We launched a Microsoft Entra ID integration for managing email signatures in MS 365

Hey,

I’ve been working on a problem that sounds small at first, but becomes surprisingly annoying as teams grow: managing email signatures across a company.

Although there are already large companies working in this area (CodeTwo, Exclaimer).

For teams using Microsoft 365, signatures usually end up outdated pretty fast — wrong job titles, old phone numbers, inconsistent branding, people copying old templates, etc. Every employee update turns into another manual task.

So I built a Microsoft Entra ID integration for Bybrand to automate most of that process.

The idea is simple:

  • Import users directly from Microsoft Entra ID
  • Automatically generate Outlook signatures using directory data
  • Keep names, roles, phones, and departments synced
  • Reduce outdated or inconsistent signatures
  • Let employees access official signatures directly inside Outlook via the add-in

Honestly, this came from seeing how much time admins waste fixing signatures manually — especially in growing companies where people are constantly changing roles or joining/leaving teams.

I'm the COO of a rapidly growing startup in a highly regulated industry. We will be hiring and working globally.

As we grow our team, I want to ensure that all of our staff have easily configurable, consistent signatures across their mobile / desktop accounts.

Because of the haphazard way that MS apps handle signatures, my interim solution of a carefully formatted Google Doc template is running into issues. E.g. Outlook mobile is weird about inline images, a line feed can be 1 or 2 lines depending on what platform you're on, etc.

I did some research on the major entrants in this category (CodeTwo, Letssignit, Exclaimer, etc) but I have realized that some of them route messages through their servers which is a compliance nightmare. I need something:

→ EASILY configurable for end users, I have some that have the technological prowess of a turnip (but they are very, very good at everything else they do). Getting people to copy and paste my template into Outlook was enough of a hassle -- but manageable.

→ Can be server-administrated, but can NOT have emails go through third party servers.

→ Decent support. I have enough to deal with that I don't also need to babysit.

I do NOT need all sorts of fancy analytics, banners, and other annoying shit that people lump into their signatures. I just need consistent signatures that maintain formatting + images and our disclaimer.
