Now they have ghosted me and I found out later they went with someone else. Feels like I am losing jobs not because of price but because I am bad at following up.

Hi All.
I got Licensed in Canada and now approved to run HVAC business. I have generated some leads for example one of the leads that I got had the issue that ethe indoor unit is leaking water around the air handler. Drain pan has water in it and it’s starting to drip onto the floor.
System is still cooling but airflow seems a bit weak. I’m thinking clogged condensate line, dirty evap coil, or maybe coil starting to freeze up. Filter was replaced recently.
Based on above I sent them a quote and then they didnt respond back to me yet and I lost it because when I followed up they had chosen someone else.
So what do you guys use to follow up on quotes right now? CRM, spreadsheet, reminders, or just memory?
