Executive Support & Operations $3,500-$ 4,000

Manage and optimize the CEO’s calendar with strong prioritization and decision-making.
Draft, edit, and send high-quality communications on behalf of the CEO with near-perfect written English.
Track action items, deadlines, and follow-ups with precision and accountability.
Serve as a gatekeeper and decision filter for incoming requests.

AI-Driven Efficiency & Automation:

Identify repetitive tasks and inefficiencies in the CEO’s workflow and proactively solve them.
Use AI tools (e.g., ChatGPT, Claude, etc.) to automate processes, draft communications, and streamline execution.
Build simple systems, workflows, or “shortcuts” that reduce multi-step processes into faster solutions.
Apply strong prompting techniques to extract accurate, useful outputs from AI tools.
Select the appropriate AI tools or approaches depending on the problem.

Problem Solving & Process Improvement:

Break down complex, detail-heavy problems and identify practical solutions.
Think critically about workflows (e.g., reducing multi-step tasks into faster, more efficient processes).
Shadow the CEO’s day-to-day work to identify friction points and propose improvements.
Push back thoughtfully when something doesn’t make sense or can be done better.

Communication & Representation:

Act as a proxy for the CEO in written and verbal communication when needed.
Handle calls or coordination tasks (e.g., vendors, service providers) with clarity and professionalism.
Maintain a high level of discretion and judgment.

Qualifications:

3+ years supporting a CEO or senior executive (or equivalent high-responsibility role).
Exceptional written English skills (near-perfect grammar, spelling, and tone).
Demonstrated experience using AI tools to solve real business problems (not just basic usage).
Strong understanding of prompting techniques and how to get accurate outputs from AI.
Close attention to detail and the ability to process complex information.
Strong critical thinking and problem-solving skills.
Ability to work independently and think several steps ahead.
Comfortable pushing back constructively and thinking autonomously.
Highly responsive, reliable, and execution-focused.

Nice-to-Haves:

Experience building automations or workflows (Zapier, Notion, etc.).
Exposure to founder-led or high-performance environments.
Experience optimizing processes or systems for efficiency.
Familiarity with productivity tools like Google Workspace, Slack, Notion, or Asana.
