How do y'all keep urgent emails from getting buried?
Hi everyone,
I’m trying to better understand how paralegals manage high-volume legal inboxes, especially when everything feels urgent.
For those of you at small or mid-sized firms, what types of emails are easiest to miss or lose track of? For example: client follow-ups, court notices, payment issues, attorney requests, intake messages, deadline-related emails, etc.
A few things I’m curious about:
- Do you mostly rely on Outlook/Gmail folders, flags, rules, or manual tracking?
- Are there certain senders or email types that always need extra attention?
- What usually causes something important to slip through the cracks?
- Would a daily digest or priority queue of “emails that may need attention” actually be useful, or would that just become more noise?
I’m working on a legal inbox triage tool and want to make sure I’m thinking about the real workflow instead of building something that sounds good in theory but would not actually help day to day.
Would really appreciate any honest feedback.
