Is there a field service app that actually works well for small remodeling crews?

We’re a 4-person crew mostly doing kitchens and baths, and I’m starting to feel like a lot of these apps are made for much bigger companies. I’ve tried a couple that were packed with features we’d probably never touch. At this point I mainly need scheduling, estimates/invoices, and something simple enough that everyone can use it from their phones without a learning curve. Curious what other smaller crews are using and what’s actually been practical day to day.

We have 12 staff across two locations and labor laws require training records, emergency contacts, and signed policies on file. It’s all in a binder and we find missing forms during inspections.

I need new hires to get a digital packet, upload signed docs, and complete training, with reminders if overdue. If someone’s certificate expires in 30 days, text them and me. At audit time I need one export with everything. Staff don’t have company emails, so it has to work on their phones. Paper is failing us.

Compliance automation for daily safety logs

Foremen are supposed to fill daily safety logs and equipment checks, but it happens on paper or not at all. Before an audit we scramble to recreate logs.

I need a text at start of shift with a mobile form, photo proof of hazards, and alerts if not submitted by 10am. If a hazard is marked, create a ticket and notify safety. At month end I need a full export for records. Crews won’t use a new app. It has to be SMS or dead simple. Paper isn’t cutting it for compliance.

On our projects, the 811 ticket often starts with engineering, passes to the superintendent, shows up in a group email, and then eventually makes it to the crew. The problem is, with that many handoffs, it’s pretty easy for details to get missed. Things like revisions or “do not dig” notes don’t always make it all the way through, especially when everything’s split across emails, attachments, and random threads. I’ve been trying to figure out if this is just how it goes, or if other teams have a cleaner way of handling it.

Solo NP starting my own practice. Credentialing consultant quoted me $4k just for professional license verification and enrollment. I’m licensed in 2 states and have a DEA. Seems insane for solo operators.

Other indie healthcare founders, did you DIY professional license verification or is there a tool that doesn’t cost a month’s rent? I’m fine doing work, just don’t know what insurers actually require.
