I don’t know if this is the right place to ask, but I am desperate and completely lost and at this point any direction would help. I don't even know who to ask so that's how I landed here.

I’m trying to teach myself estimating/project management for a gypsum underlayment and floor leveling company, and honestly I’m realizing how little trade-specific information is out there compared to GC estimating.

We’re a very small business. It’s the owner, me, a new office assistant, we have some installers. The owner wants to grow the company, and I want to help grow it, but a lot of our systems and processes are still very informal.

I came into this field with only general construction knowledge and have spent the last 4.5 years teaching myself pretty much everything operationally. At this point, I handle things like:

  • finding projects/bid opportunities
  • reviewing plans/specs
  • pulling together relevant documents/details
  • organizing proposals
  • communicating with GCs/vendors
  • tracking leads and projects

The owner handles the actual takeoffs/pricing, usually as a lump sum, and I’m responsible for interpreting the scope and laying proposals out in a professional/commercial way.

We do things like:

  • gypsum underlayments/gypcrete
  • sound mat systems
  • self-levelers/floor leveling
  • radiant heat underlayments
  • multifamily/commercial work

Right now I’m trying to better understand:

  • what details actually matter in plans/specs
  • what makes a proposal “complete”
  • avoiding scope gaps
  • which bid documents actually matter to me as a subcontractor
  • how experienced estimators review specs
  • whether subs realistically have negotiating power with insurance requirements
  • Literally any guidance on if I'm doing anything right.... I suspect no as we've hardly even gotten past the bidding stage.....

If anyone in flooring, underlayments, concrete, coatings, or specialty trades has advice, resources, or things you wish someone taught you earlier, I’d genuinely appreciate it.

TL;DR: I’m self-teaching estimating/project management for a small gypcrete/floor leveling company and trying to better understand commercial bidding, specs, proposals, and scope review. Looking for advice from anyone in specialty trades who’s been through it.
